How does an AI assistant pick a local business?

AI assistants name the local businesses whose facts they can find and trust. Here is what they look for, where they look, and what you can fix this week.

A sample, worked through

Follow one customer's question.

In the sample, Plumber A's phone number is the same on its website, its Google profile and a directory, so the AI assistant names it. Plumber B has an old number on a directory, so it is dropped. Plumber C's number is only in a photo, so it is left out.

Sample: three made-up plumbers in Kalispell. Not real businesses.

  1. 1 of 5A customer asks.Questions like "who can come out this week" send AI assistants to live sources.
  2. 2 of 5It reads what it can find. Each plumber's own website, Google profile and a directory.
  3. 3 of 5It checks they agree.Facts that agree everywhere are trusted. Facts that disagree get dropped or guessed.
  4. 4 of 5It leaves some out.For simple reasons: old facts somewhere else, or facts locked in a picture.
  5. 5 of 5It names the one it can trust.None of the major AI companies says it sells the answer.

The answer

An AI assistant recommends the local businesses it can find and trust. It looks for your name, what you do, where you are, when you are open and how to reach you, and it trusts those facts more when the places it reads agree with each other: your own website, your Google Business Profile, maps, directories and reviews. None of the major AI companies says it sells the answer, and nobody outside them knows the exact recipe.

The checklist

Work down it in order. Every line is free or cheap, and none needs a new website.

  1. Ask first. Run the five-question test so you know what AI assistants say about you today.
  2. Your facts, written as words. Your name, what you do, the towns you serve, your phone number and your hours, on your own website as plain text. A number in a picture or hours in a photo of the door can be read by people, and often not by machines.
  3. A site that opens. It loads, its security certificate is current, and its crawl rules let search and AI assistants in. The nine checks test all three.
  4. Every copy matches. One name, one phone number, one address or service area and one set of hours, the same on your site, your listings and every directory. Give three different numbers and an AI assistant may give none. See why your facts need to match.
  5. Your free listings, claimed. Gemini and Google's AI answers draw on your Google Business Profile, Copilot on Bing Places, and Siri and Apple Maps on Apple Business Connect. See Google Business Profile and AI.
  6. What you do, said plainly. Name your services and your towns the way a customer would ask. "Water heater repair and replacement in Kalispell, Whitefish and Columbia Falls" can answer a question. "Quality service since 1998" cannot.
  7. Current everywhere. Hours that match the season, and every change made everywhere on the day it happens.
  8. What others say. Recent reviews and mentions, which an AI assistant often sums up in one line. See reviews and AI.

A good business left out of an answer has usually missed one of these lines. It is rarely about the work.

This is the short version. BeargrassAI's lesson How does AI decide whom to recommend? walks through how one question becomes an answer, which pages get read, and what the research says changes the result.

Is this SEO? AIO, GEO and AEO

SEO, search optimization, is the work of helping Google and Bing find, understand and list your web pages. AIO, AI optimization, is the work of helping AI assistants like ChatGPT, Gemini and Claude find your business and answer with it. You may also hear it called GEO or AEO. For a small business most of the work is the same: clear facts, a site that works, and real, specific words about what you do. The difference is that an AI assistant writes one answer instead of a list of links, so clear, current facts that agree everywhere matter more than keywords.

  • SEO puts your page in a list. AIO puts your business in an answer.
  • Facts beat keywords. An AI assistant is not matching words; it is trying to state facts it can trust. Repeating "best plumber Kalispell" does nothing. Stating that you repair and replace water heaters in Kalispell, Whitefish and Columbia Falls does.
  • Good SEO basics still help AIO: a fast, secure site with your facts in plain words.
  • Be wary of anyone who guarantees an AI will name you.

Where does Validated.Directory fit?

Validated.Directory is one record for your business, read from your own website, confirmed by you, dated twice, and written in the formats AI assistants read. It gives an AI assistant one place where your facts are clearly yours and clearly current. It does not promise that any AI names you. Nothing honest can.

Questions

Can I pay ChatGPT, Gemini or Claude to recommend my business?
None of the major AI companies says it sells the answer itself. Where AI assistants show ads, they label them as ads. What you can do is make your facts easy to find and easy to trust.
Does an AI assistant know my business if it is barely online?
Only as much as it can read. If your business lives on word of mouth and a Facebook page, an AI assistant has very little to go on. A simple website with your facts written plainly changes that.
How long does it take for a change to show up in an AI answer?
It depends on the source. Live search sees a change the next time it reads your page. What a model learned in training only changes when the model is trained again. Fix the live sources first; they are the ones you control.
Does being in a small town hurt my chances?
Fewer competitors can help. Thin information hurts. In a small town the business with clear, current, matching facts often stands out simply because few others have them.
Is SEO dead now that people ask AI?
No. People still search, and many AI assistants read search results to write their answers. Good SEO basics are part of good AIO.
What do GEO and AEO mean?
They are other names for nearly the same idea: helping AI answers and answer boxes use your business. The work is the same.
How do I know if it is working?
Run the same five-question test every month and compare the answers. When the AI assistants start naming you with the right facts, it is working.
